A plumbing office handoff checklist for the next shift

Leave the next person enough context to act without reconstructing the whole day.

Start with work that still needs a decision

A handoff is most useful when it explains what remains unresolved. Separate new requests awaiting review, offers awaiting a response, accepted work and completed work with an outstanding office action. A single list labelled “jobs” can hide the difference between a customer waiting for information and a provider already responsible for the visit.

For each open item, include the current owner, the last confirmed fact and the next action. Link to the relevant record instead of copying the entire customer history into a new note. This reduces the number of places the team needs to correct if details change.

Use this shift checklist

  • New enquiries: who needs a response and what permission or contact preference was supplied?
  • Unconfirmed work: what information or acceptance is still missing?
  • Accepted work: which provider owns it and what has the customer agreed to?
  • Changed plans: what changed and who has been informed?
  • Estimates: which version is current and is a decision still outstanding?
  • Completion: what office action remains, if any?
  • Ownership: who is taking each unresolved item into the next shift?

The checklist is a suggested operating routine. Adapt it to the business’s staffing and actual software capabilities. It does not establish a service-level promise or substitute for professional assessment of a plumbing issue.

Use actual times and references in live work. If nobody has accepted responsibility for the next action, mark that gap rather than assuming the next shift will discover it. Resolve ownership during the handoff whenever possible.

Keep regional details readable in Canada

For a Canadian team, keep the province, city, unit and postal code with the correct property. Label quoted amounts CAD. If a remote office supports more than one time zone, a handoff note should make the appointment’s time zone explicit rather than relying on the recipient’s location.

Include only the access information the next authorized person needs. Keep sensitive details in the appropriate controlled record rather than repeating them in broad team messages or public notes.

Check the changed-plan scenario

Use a fictional exercise: a provider’s earlier job runs late while another customer is waiting for an estimate decision. Ask the outgoing person to write the handoff, then have the incoming person explain who needs contact and what remains unconfirmed. If the two explanations differ, improve the status labels or note structure.

Do not judge the exercise by how quickly someone clicks through a dashboard. The useful result is that the next person can identify the current facts, the owner and the next action without inventing a promise. Record missing information as a process improvement.
